Article I – NAME

Doki-Doki (D2) Anime Club Constitution

Article II – PURPOSE

This association exists to provide a catalyst for the exchange of information regarding anime, manga, videogames and similar topics between people of common interests through mediums such as meetings, mailing lists, websites, and such.

Article III – MEMBERSHIP

Anyone fifteen (15) years of age or older who wishes to join may, though members younger than eighteen (18) must first obtain permission from their parents/guardians (a permission agreement can be found at this location: http://www.d-2animeclub.org/PPA.pdf). Details regarding content relating to group activities are available at ??????????. Membership requests coming from people who are younger than fifteen (15) will be dealt with on a case-by-case basis.

Article IV – FOUNDERS

The founders of the D-2 Anime Club act as senior advisors to the club president on society matters, but mostly, their word is FINAL. In the event that none of the founders are club president, their voices are to be weighed on an individual basis as heavily as the president's on club matters. The founders should be involved with the group at the officer level including being present for all staff meetings for which they are available, being familiar with club affairs, etc. Their duties allow them to assume the responsibilities of all other officers and staff members should they have perform any of those duties. Mostly, their primary functions are equal to that of the president and vice president. In that event that a founder wishes to relinquish their status as such a signed document stating this intent must be provided for the archives of the association.

Article IV – OFFICERS

Section 1 – The officers of the group shall be:

  1. President
  2. Vice-President
  3. Secretary
  4. Treasurer
  5. Programming Advisor(s)

Section 2 – The term of office for the officers shall be one (1) year; however, officers who become too busy to consistently attend meetings and other functions will be encouraged to step down from their position.

Section 3 – The officers shall be elected by a quorum (at least 2/3) of the voting membership of the organization IN PERSON (no absentee ballots shall be allowed). A voting member is defined as members who have at least participated in three (3) meetings (regular and/or special) over the year previous to the proposed election or a combination of meetings and other events/activities involving the officers during the year previous to the proposed election totaling three (3). The meeting before an election will be used to host presentations by candidates to the membership with a quorum of the member base in attendance. If this condition is not met then the election date must be pushed back until it is. Furthermore, if a majority of the voting membership cannot make the election date then it too must be pushed back to accommodate this need.

Section 4 – A member must be considered a voting member to run for office.

Section 5 – Additional officer positions can be suggested by both voting and non-voting members and must be ratified by a quorum of the voting membership.

Article V – ACTIVITIES

Section 1 – Regular meetings shall be held at times and locations determined by the officers and advertised through mediums such as fliers, the internet, etc.

Section 2 – Special meetings will be held based upon need and purpose. All members shall be notified with at least a month notice of a special meeting.

Section 3 – Group trips to relevant locations will be organized by the officers and members. All members shall be notified with at least a month notice of a group trip.

Section 4 – Officer meetings will be held when deemed necessary by the officers in person, by phone, or online.

Article VI – AMENDMENTS

Section 1 – Proposed amendments to this constitution or the by-laws of the constitution shall be presented at a regular meeting at least one meeting prior to a vote with a quorum of the voting membership in attendance for discussion.

Section 2 – Having been properly presented, amendments may be adopted by a quorum of the voting membership at a regular meeting.

Section 3 – Amendments shall go into effect immediately upon adoption.

 


By-Laws


Article I – DUES

For those who attend regular meetings (officers, voting, and non-voting members included), any dues collected will depend upon the location. If it is necessary, the dues shall be paid in the form of a small donation (size depending on the cost to host the meeting) to the location hosting our meeting. Otherwise there are no dues collected for joining our association.

Article II – DUTIES OF OFFICERS

Section 1 – The duties of the President shall be to:

  1. preside over the organization and the scheduling of all activities of the association.
  2. coordinate with staff members regarding all group related issues.
  3. have final say about the content to be presented during any type of group gathering.
  4. represent the organization as needed.
  5. delegate authority when necessary.
  6. sign all financial documents.
  7. keep a copy of all financial documents.

Section 2 – The duties of the Vice-President shall be to:

  1. assume the duties of the President if he/she is unable to carry them out.
  2. be familiar enough with the inner workings of the association to be able to assume any role necessary.
  3. assist the President in administering the business of the group.
  4. contribute ideas to all facets of the association.
  5. attend all activities of the association for which one is available.

Section 3 – The duties of the Secretary shall be to:

  1. record minutes of each officer caucus whether in person, over the phone, or through electronic communication.
  2. contribute ideas to all facets of the association.
  3. attend all activities of the association for which one is available.

Section 4 – The duties of the Treasurer shall be to:

  1. keep a record of all financial documents relating to the group.
  2. sign all financial documents along with the president.
  3. ensure the president has a copy of all financial documents.
  4. turn in all financial records for re-issue to a new Treasurer when required.
  5. contribute ideas to all facets of the association.
  6. attend all activities of the association for which one is available.

Section 5 – The role of the Programming Advisor(s) shall be:

  1. assist the officers in selecting content to be presented to the group.
  2. contribute ideas to all facets of the association.
  3. attend all activities of the association for which one is available.

Article III – RULES REGARDING GROUP ACTIVITIES

Section 1 – During a public meeting of the association a certain level of decorum is expected. Specifically, all in attendance are expected to maintain a reasonable level of tact as outlined in the sequel. At the discretion of the officers, dismissal from the event can occur for violating any of these rules as well as loss of membership from the group and barring from all future group activities.

Section 2 – During all public meetings everyone in attendance is expected to be quiet during presentations of any sort which includes watching programming – so yes no MST3K impersonations, unless it is considered part of the activity.

Section 3 – All facilities associated with a meeting of the group are to be kept in pristine condition. All in attendance are expected to assist in maintaining this aim and in fact are expected to help clean, organize, and assist in any manner suggested by the officers.

Section 4 – No overtly offensive or pornographic materials of any sort will be brought to a meeting. This includes all forms of hateful material (anti-religion, racist, etc.), “hentai”, and things of the such in print and video form. Nothing of this type shall be shown at regular meetings for any reason whatsoever.

Section 5 – No alcohol shall be present at any regular meetings of the group.

Article IV – DISCIPLINARY PRODCEDURES

Section 1 – In the event that the officers deem a member to be violating any of the rules highlighted in Article III or behaving in any sort of undesired manner the member will be asked to leave. On a case-by-case basis this may result in a permanent banning from group activities or a temporary ban.

Section 2 – The officers must make it clear to the offending member what behavior caused him/her to be removed and the term of the removal.

Section 3 – If the offending member refuses to leave and follow the ban posted by the officers the authorities may be contacted to help in its enforcement.
